GENERAL AAAC /VPF ATTENDANCE POLICY/ RSVP POLICY

Effective Date: August 7, 2025

This policy applies to all indoor and outdoor All Abilities Activity Club events—whether

free or paid—including, but not limited to: health education soccer class, basketball

class, playground activities class, art class, Fun-Atomy education class, cooking

classes, social skills class, life skills class, and any other health-related sessions.

1. RSVP and Registration Requirements

1.1 Advance Registration – All participants must RSVP and complete registration in

advance. 1.2 Health Intake Form – A completed form with emergency and medical

information must be on file before participation. 1.3 Emergency Contacts – At least

one active emergency contact number must be provided. 1.4 Waiver – The signed Hold

Harmless Waiver must be submitted prior to attendance. 1.5 Activity Participation Agreement - must be completed, signed and returned prior to participation.

2. Payment and Refund Policy (Paid Events)

2.1 Payment Due – Full payment is required at the time of registration. 2.2 No Refund

Policy – Payments, donations, purchases, and subscriptions are non-refundable. 2.3

Rescheduling – One (1) rescheduling per paid registration is permitted and must be

used within 12 months. 2.4 Applicability – Applies to all fee-based programs,

donations, and subscriptions.

3. Attendance Requirements

3.1 Caregiver Presence – Children must attend with a caregiver unless drop-off

approval is granted. 3.2 Drop-Off Option – Allowed only if the child is fully independent

with toileting and ADLs without history of elopement attempts 3.3 Staff Role – Staff provide activity facilitation only. They do

not provide childcare or personal care. 3.4 Venue Limitations – Restrooms may not be

available at all locations.

4. Health, Safety, and Medical Emergencies

4.1 Medical Preparedness – Parents/guardians must supply prescribed emergency

medications. 4.2 Emergency Response – Staff will call 911 in case of emergency. 4.3

Food Safety – No nuts permitted. Sharing food is discouraged.

5. Conduct and Behavior Standards

5.1 Family-Friendly Environment – No alcohol, smoking, vaping, drugs, cursing,

yelling, bullying, or harassment. 5.2 Attire – Family-friendly, weather-appropriate

clothing and secure footwear are required. Bringing a change of clothes is

recommended. 5.3 Non-Competitive Activities – Events are educational and social,

not competitive. 5.4 Photography and Media – Staff may take photos with consent.

Families may not post images of other children without permission.

6. Weather and Cancellations

6.1 Weather Policy – Paid outdoor events canceled due to weather will receive a rain

check. 6.2 Rain Check Limitations – Must be used within 12 months.

7. Risk and Liability

7.1 Assumption of Risk – Participation is at the individual’s own risk. 7.2 Hold

Harmless – By registering, participants release All Abilities Activity Club from liability.

7.3 Parental Responsibility – Parents/guardians are fully responsible for their child’s

safety and participation.

8. Communication and Dispute Resolution

8.1 Concerns and Accommodations – Must be communicated to staff in advance. 8.2

Dispute Resolution – Issues will first be addressed with leadership, then through the

grievance policy if needed.
